The Problem: Vendor Security Breach Led to Ransomware Attack

In early July 2022, the Tulsa YMCA learned it had been victimized by a ransomware attack. Malicious actors were able to gain entrance to its systems through vendor software. John Skinner, the VP of systems administration, took this as an opportunity to not only increase the level of cybersecurity but also to work with a vendor that could provide more services tailored to what the YMCA needed.

The YMCA of Greater Tulsa has over 15 locations and serves the local area with youth sports programs, day camps, family activities, and community health programs that help build a healthy spirit, mind, and body for all. Its IT department works behind the scenes to support its mission through technology and data collection and reporting functions.

When seeking a new partner, the YMCA started by looking at its pain points. Its staff members were tired of tedious tasks such as ordering toner for printers. They needed phones that would allow them to answer calls and talk to clients while on the move. And, most importantly, they needed top-notch security to protect sensitive data.

The Solution: Comprehensive, Secure Managed Services

We met with the YMCA to determine how we could support its mission. This was a good time to assess the systems and processes no longer working for the employees. We were able to remove several tasks from their plates and provide them with equipment, devices, and services that would allow them to work more efficiently and productively.

Phone Systems

The YMCA staff is constantly on the go and needed phone systems that didn’t keep workers tied to one spot. We set up a system that unified communications across the YMCA's 15 locations and gave the staff more mobility. Employees can access text, instant messaging, and mobile options, while the IT department has centralized control to maintain security and integrate with other business applications.

Managed Print Services

The YMCA’s complaint that it was tired of ordering printer cartridges reflects the staff’s frustration with inefficient systems. With so many different locations, printer and copier management was scattered and took away from important daily work. We analyzed the workflows, locations, and processes to identify opportunities for optimization. We installed devices where they were most needed and automated supply replenishment. Our continuous monitoring and managed print services program ensures that the YMCA’s printers will always be online and available. If equipment has problems, we can quickly deploy a local field service technician to get the device back up and running.

Managed IT Services

Given a recent ransomware attack, cybersecurity was at the top of the YMCA’s priorities. Unfortunately, attacks that have their root in vendor software are becoming increasingly common as cybercriminals find more sophisticated methods of breaching security defenses. Standley Systems managed IT services provided the YMCA with managed network services that employ the latest, most secure measures, including data encryption at rest and in transit, user authentication, and strong firewall protection.

The Result: A Trusted Partnership That Meets Its Needs

In Standley Systems, the YMCA found a partner it can trust and solutions that work. Its employees can focus on supporting family and community wellness while we focus on supporting them.

Dedicated Account Support

With a singular point of contact and dedicated account support, the Tulsa YMCA knows exactly whom to turn to when there’s a problem. However, we don’t just connect when there’s an issue. We regularly reach out to ask how things are going to focus on continuous improvement and exceptional service.

Increased Efficiency and Productivity

The increased mobility afforded by the new phone systems, along with centralized management and automated service, maintenance, and supply replenishment, allows the staff to be more productive. It no longer has to spend time handling tedious tasks such as ordering more printer cartridges or troubleshooting printer failures.

Improved Security

Perhaps most importantly, the YMCA can rest assured that important data is well protected and in good hands. It knows clients rely on it to protect their sensitive data, and it relies on Standley to fulfill that obligation.

Hear Directly From Greater Tulsa YMCA

“One thing that really set Standley Systems apart was the way that you listened first. After we talked about what we needed, Standley came up with different solutions. It wasn’t one solution. It very much was not cookie cutter. In a room together, we came up with the best solution for us. It really has been fantastic. I wouldn’t change anything. I haven’t had that relationship with our other vendors before. I could not recommend Standley Systems higher. “
