The Problem: Complex Technological Needs Led to Scattered, Inefficient Processes

Norman Regional Health System (NRHS) provides healthcare services to regional communities throughout south central Oklahoma. With 400 beds spread over multiple campuses, it has to provide accurate, efficient service to meet the needs of patients 24/7. In the healthcare industry, mistakes can impact patient care, so the stakes are high.

NRHS needed a cohesive print management solution that would work seamlessly across all of its campuses to avoid outages, downtime, and running short on paper or toner at critical times. Because NRHS is a healthcare organization bound by patient privacy regulations, its printers needed to be HIPAA compliant as well.

The biggest challenge NRHS faced was scattered print management, which relied on time-consuming manual processes that were easy to overlook in a busy healthcare environment.

The Solution: A Right-Sized Print Management Solution Focused on Optimal Uptime and Security

After meeting with NRHS and listening to its frustrations with current systems, Standley Systems developed a print management solution that met its complex needs and logistical challenges. We wanted to reduce the administrative burden on its staff team so it could focus on providing the best care possible to patients.

Ideal Fleet Size and Placement

We analyzed the workflows at each campus to optimize its print fleet based on demand. This helped eliminate waste by ensuring devices were deployed based on usage needs. Every facility had printers where and when needed without excess — reducing costs and inefficiencies while maximizing printer function, uptime, and longevity.

Secure Device Management

Our secure print management software guarantees NRHS’s regulatory compliance with the complex web of healthcare and data protection regulations. All of NRHS’s printers and copiers are protected with the highest security standards, including measures such as user authentication, data encryption, and audit trails.

Reliable Performance

We implemented continuous network monitoring to identify devices that needed service or were running low on supplies. Many service issues can be addressed remotely, but for those that require on-site maintenance, we can quickly deploy an experienced field service technician.

Automated Supply Management

Using our automated supply replenishment service, we detect when NRHS is running low on supplies such as paper and toner. We ship toner cartridges directly when they’re needed, eliminating the need for stockpiling cartridges — a practice that can waste space and encourage theft.

Ongoing Account Review

An integral element of our partnership with NRHS is an ongoing account review to drive continuous improvement, trust, and transparency. We regularly discuss any issues that arise so we can continue to deliver exceptional service as its needs evolve and grow.

The Result: Increased Efficiency, Productivity, and Reliability and Decreased Costs

As a result of our partnership with NRHS, the IT team can focus on supporting the important lifesaving work of its healthcare providers while we handle its printing and copying systems.

Improved Reliability and Efficiency

The staff members at NRHS no longer have to wonder if their printers and copiers will work when they need them or if they’ll be met with a paper or toner shortage when they have to print critical documents. They can rest assured printer errors and failures won’t interrupt their workflows or interfere with patient care and support.

Cost Savings

By optimizing its fleet size and automating management, NRHS was able to cut costs associated with inefficient devices, unplanned downtime, and wasted resources. It was also able to eliminate a significant part of the IT team’s workload so it could concentrate on high-value tasks.

Trusted Local Partnership

NRHS has a singular point of contact at Standley Systems. In an increasingly impersonal world, we still believe in the power of local, long-term partnerships. NRHS has a team that will listen to its concerns and work cooperatively to find the best solutions.

Hear Directly From NRHS

“We were searching for a partner who understood our values, and we really value a local partner as well. So, for us, Standley Systems just really answered those requirements. We are very pleased with their response to our needs and overall assessment to understand what we were trying to accomplish by the optimal solution. It’s been a really good partnership.”

“Standley Systems has been someone who we can trust, someone who listens, someone who reacts to and responds. Having a singular point of contact to find those answers has been very important to us.”

Richie Splitt, CEO, Norman Regional Hospital System

“Whenever there’s an issue or we have a new monthly account review, we let them know of any trouble areas that we see, any tickets that come in through our HIT ticketing system. We are able to review all of those, and it’s been working really well working through to reach the best solutions with our partner.”
